Business Central vs Acumatica: how Malaysian SMEs actually decide
The licensing model, not the feature list, is what usually settles this. Here is the decision as we run it in a fit-gap workshop.

Almost every ERP shortlist we are invited into starts as a feature comparison and ends as a licensing decision. Both Microsoft Dynamics 365 Business Central and Acumatica Cloud ERP will run a Malaysian mid-sized distributor, manufacturer or services firm. What separates them is how they charge, how they extend, and who in your business actually needs to be inside the system.
Start with who needs a login
Business Central is licensed per named user. That is efficient when a defined finance, sales and operations team works in the system every day, and expensive when fifty warehouse or site staff each need to touch it occasionally.
Acumatica is licensed by resource consumption rather than per user, which changes the arithmetic for businesses with a long tail of occasional users — field technicians, project staff, branch admins.
- Concentrated daily users: Business Central usually wins on cost.
- Many occasional users: Acumatica usually wins on cost.
- Count the occasional users honestly — this is where quotes drift.
How much Microsoft are you already running?
If your team lives in Outlook, Excel and Teams, Business Central removes friction that is hard to price but easy to feel: posting from Excel, approvals in Teams, reporting that lands in Power BI without a connector project.
Acumatica integrates well, but integration is a step you configure rather than a default you inherit.
What has to be built, not configured
Both platforms are extended through modern, upgrade-safe development. The practical question is whether your differentiator — a rebate scheme, a project billing rule, a compliance report — is a configuration, an add-on module, or genuine custom development.
We answer that in the fit-gap workshop before anyone quotes, because it is the single largest swing factor in implementation cost.
How we actually decide
We run your real scenarios on both platforms in a demo, count the licences honestly, and put the two totals side by side including implementation. If neither platform fits the way you work, we say so — that has happened, and it saved the client a year.
